This policy explains what personal data we collect when you interact with our website, book a tour, join our newsletter, or travel with us — and what we do with it.
What personal data we collect, and why
Booking and tour registration
When you book a tour with us through WeTravel, we collect the information needed to run your trip and process payment: your name, email, phone number, address, emergency contact details, dietary or health information relevant to the trip, and payment information (processed directly by WeTravel — we do not store your full card details ourselves).
We use this data to confirm your booking, communicate trip details, coordinate with our chef and ground partners, and meet our legal and tax obligations as a tour operator.
Newsletter and mailing list
If you sign up for our newsletter or mailing list, we collect your name and email address via Zoho Campaigns. You’ll only receive newsletter emails if you’ve actively opted in, and every email includes an unsubscribe link.
Contact forms and enquiries
If you contact us through a form on our website, we collect the information you provide (typically name, email, and your message) in order to respond to you. This information is stored in Zoho CRM.
Comments
If you leave a comment on our site, we collect the data shown in the comment form, along with your IP address and browser user agent string, to help with spam detection. An anonymized hash of your email address may be shared with the Gravatar service (privacy policy: https://automattic.com/privacy/) to check whether you use it; if approved, your Gravatar profile picture may be publicly visible next to your comment.
Photos and video from our tours
During a Let’s Eat The World tour, our team, chefs, or guides may take photographs and video that include you. We only use these images if you’ve given us separate, specific consent at the time of booking — this is not bundled into your booking terms, and declining it has no effect on your participation in the tour.
What we use it for: Promotional purposes only — our website, Instagram, Facebook, YouTube, newsletters, and printed marketing materials.
What we don’t do: We do not sell, license, or share your image with third parties for their own marketing use, and we don’t use it for anything beyond promoting LETW’s tours.
Editing: We may edit, crop, or include your image alongside others in compilations (such as trip recap videos) at our discretion.
How long we keep it: Up to 3 years from your tour date, after which images are archived or retired from active use.
Withdrawing consent: You can withdraw this consent at any time by emailing info@letseattheworld.com with your name and tour dates. For standalone photographs, we will remove your image within 7 days of your request. For compiled or edited video content (such as trip recap videos), removing a specific individual may require re-editing or retiring the piece entirely — in these cases we’ll action your request at the next practical opportunity and confirm the outcome with you directly. Withdrawal does not affect any past or future booking, and images already in circulation (e.g., printed materials, past newsletters) may continue to exist but will not be used again going forward.
Website analytics
Our website uses Google Analytics (GA4) to understand how visitors use our site — pages viewed, general location, device type, and referral source. This data is not used to identify you personally.
Advertising
A Meta (Facebook) Pixel on our website allows us to measure engagement with our content and site traffic from Facebook and Instagram. When we run paid advertising campaigns, this same data may be used to serve and measure tailored ads on Facebook and Instagram.
Media uploads
If you upload images to our website (for example, via a comment), you should avoid uploading images with embedded location data (EXIF GPS), as this can be extracted by other site visitors.
Embedded content
Pages on this site may include embedded content (videos, images, articles) from other websites. Embedded content behaves exactly as if you had visited that other website directly, and that site may collect data about your interaction with it, independent of us.
Who we share your data with
- WeTravel — booking, trip management, and payment processing
- Zoho CRM — enquiry and customer relationship management
- Zoho Campaigns — newsletter delivery
- Google Analytics — website traffic analysis
- Meta (Facebook) — engagement measurement, and advertising performance measurement when paid campaigns are active
We do not sell your personal data to anyone, under any circumstances.
Some of these providers may process data outside the European Economic Area (for example, in the United States). Where this happens, we rely on the safeguards those providers have in place, such as Standard Contractual Clauses, to ensure your data continues to receive an appropriate level of protection.
How long we keep your data
- Booking and tax-related information: for as long as required by Spanish law for tax and business record-keeping purposes.
- Newsletter subscriber data: until you unsubscribe or request deletion.
- Contact form enquiries: retained for as long as they remain relevant to an ongoing or potential business relationship, or as needed for our records. You can request deletion of your enquiry at any time (see “Your rights” below).
- Comments: retained indefinitely, so we can recognize and approve follow-up comments automatically.
- Photos and video: up to 3 years from the tour date (see “Photos and video from our tours” above).
Your rights
Under GDPR, you have the right to:
- Request a copy of the personal data we hold about you
- Ask us to correct inaccurate data
- Ask us to delete your data (except where we’re required to keep it for legal, tax, or administrative reasons)
- Withdraw consent at any time, where our processing is based on consent (such as photo/video use or newsletter subscription)
- Object to certain processing, or ask us to restrict it
- Lodge a complaint with the Spanish data protection authority, the Agencia Española de Protección de Datos (AEPD) — https://www.aepd.es
